Conference design for in-house conferences

From an occasion to a day that changes something.

You bring the occasion, the goal or the problem. I bring together audience, content, speakers, dramaturgy and participant journey into a conference that works in the room – and keeps working afterwards.

A good beginning

You do not need a finished brief yet.

01 We have an occasion and a date – but no clear idea yet.

02 We have lots of topics – but no coherent programme yet.

03 We want to reach people – without overwhelming them with talks.

From the first question to the feedback

Conference design: from an occasion to a coherent programme.

Are you planning an internal conference, a leadership day or a specialist conference? Together, we develop a conference concept that fits your audience and your goals. Individual topics become a coherent programme with suitable speakers, varied formats and room for exchange. You can commission the full conference design or individual elements.

01

Goal & audience

What should this day achieve? Together, we clarify the questions your participants bring and what they should take away from the conference. This gives us the priorities for the concept.

02

Developing your conference programme

I connect your topics through a common thread and select suitable formats: talks, workshops or moderated discussions. Sequence, participation and breaks are planned together to create a coherent flow for the day.

03

Finding the right speakers

I research and select speakers to suit the topic, audience and format. I then handle outreach, fee negotiation and content briefings. Speakers know whom they need to reach and how their contribution fits into the programme. I also keep track of the speaker budget.

04

Conference moderation

I moderate conferences and leadership days in German. Preparation with speakers, clear transitions and participant involvement connect the individual parts of the programme. If you wish, I also coordinate the programme, speakers and technical partners on site.

05

Participant management

A suitable conference website or app that makes registration, selection, orientation and feedback easy.

06

Technology & budgets

If needed, selecting and managing the technology plus transparent budget responsibility for speakers and technology.

The proven format for assistants shows what an audience-specific implementation can look like.

Digital where it really helps

The participant journey is part of the conference experience.

The conference website or app naturally comes in your corporate identity. Participants get a clear, personal view; your team gets a reliable overview.

Clear responsibility

Not an event agency. And that is exactly the point.

You could call it content-led event management. My focus is on content design and the people: what do they need, who can reach them and how do individual programme items become one coherent day?

We agree the scope before the project starts. I work with organisations in Germany, Austria and Switzerland. Conference design and collaboration are possible in German or English; I offer moderation in German.

What I take responsibility for

  • Concept, programme and dramaturgy
  • Speakers, moderation and participant journey
  • Technology as needed
  • Speaker and technology budget
  • Operational delivery on site on request

What stays with you

  • Venue and room logistics
  • Catering and hospitality

I am happy to work with your internal team or your existing event partners.

Frequently asked questions

Is KonferenzWerk an event agency?

No. KonferenzWerk is content-led event management: my focus is on content design, the people and the impact of the conference. Venue and catering remain with you or your event partners.

Do we have to commission the entire conference design?

No. You can commission individual building blocks or overall responsibility for content, speakers, participant journey and delivery. In our first conversation we clarify what is already well covered internally.

What does participant management include?

Depending on your needs, you receive a conference website or app in your corporate identity with registration, track selection, a watch list, a personal view, rebooking, cancellation, waiting lists and feedback. All information comes together in one place – instead of in Excel lists, Forms surveys and multiple file versions. This saves time and gives you clarity at any moment.

Do you also handle delivery on site?

Yes. If you wish, I moderate the conference and take over the operational management of the programme, the speakers and the technology partners involved on site.

Do you take responsibility for budgets and technology?

If needed, I take care of selecting and managing the technology as well as budget responsibility for speakers and technology. The exact framework is agreed transparently before the project starts.

Do we need to introduce new software to work together?

No. I adapt to the tools you already use – for example Microsoft 365 with Copilot, Google Workspace or your project management system. Where it helps, we structure tasks and decisions with Kanban. That way everyone involved can see the current status from anywhere. This saves uncertainty, file versions and follow-up questions.
